Terms of Use

Last updated October 14, 2026

Who these terms are between

FlockCentral is operated by Coding Brothers, a small software business in Northern California. These terms apply to two kinds of people, and say which where it matters:

  • Organizations — the camps, schools, clubs, leagues and other groups that run events on FlockCentral.
  • Registrants — anyone who signs up for one of those events, or registers someone in their care.

Using FlockCentral means you accept these terms. If you do not, do not use it.

What FlockCentral does

FlockCentral is software organizations use to publish events, take registrations and payments, assign lodging, and check people in.

The organization running an event — not Coding Brothers — is responsible for that event. That includes what it costs, whether it happens, what it is like, who supervises it, and its refund and cancellation decisions. We provide the software; we do not run the events, employ their staff, or supervise their attendees.

Accounts

Registrants log in with a mobile number and a one-time code. Keep access to that number secure — anyone who can receive its codes can reach your registrations.

Organization staff log in with an email address and a password, and must use two-factor authentication. Do not share those credentials. Tell us promptly if you believe an account has been compromised.

Text messages. By giving us a mobile number, you agree to receive text messages from FlockCentral: a one-time code when you log in, verify the number or reset a password, and a short security notice to your old number when the mobile number on your account is changed. There are no marketing texts. Message and data rates may apply. We send to US and Canadian numbers only. Reply STOP to any of our texts to stop them (reply START to allow them again); without the codes you cannot log in, because they are how you log in.

You must be 18 or older to create an account. An adult may register another person in their care, for example a minor.

Payments and refunds

Payments are processed by Stripe. Money for an event goes to that organization’s own Stripe account, not to Coding Brothers. We never receive or store your card number.

An organization that takes payments through FlockCentral does so through its own Stripe account, and by connecting one agrees to Stripe’s Connected Account Agreement ↗, which includes the Stripe Services Agreement.

Refunds are the organization’s decision, under whatever policy it publishes for that event. Ask the organization, not us. We can only help with a technical failure of the software itself.

Prices and availability shown are the organization’s. An obvious error — a price or capacity the organization did not intend — may be corrected, and an affected registration refunded.

Plans and billing

This section applies to organizations. FlockCentral has two plans, and neither charges a fee per registration:

  • Free — no charge. Events of up to 250 people each, no lodging, and up to 5 users. Users are the people who log in to run your organization; people who register for your events never count.
  • Paid — $19 a month or $190 a year. Events of any size, lodging, and unlimited users.

Paid renews automatically, every month or every year as you chose, and the card on file is charged at the start of each period until you cancel. You can switch between monthly and yearly from Settings → Billing. Moving to yearly is charged at once, less the unused part of your current month. Moving to monthly takes effect at the end of the year you have paid for.

You can cancel at any time from Settings → Billing. Cancelling takes effect at the end of the period you have paid for: you keep Paid until then, and you are not charged for another period.

If a renewal payment fails, Stripe retries it over the following days, and you keep Paid while it does. If every retry fails, the subscription ends and your organization is on Free. Nothing is deleted and events already running keep running, but until you subscribe again these changes, which need Paid, are refused:

  • turning lodging on for an event;
  • raising an event above 250 people;
  • opening an event that has no capacity limit, room for more than 250 people, or lodging;
  • adding a sixth user.

We may give an organization Paid at no charge (Complimentary Paid). If it has an end date, it ends on that date and the organization is on Free, as above, unless it has subscribed.

Refunds of plan charges are at our discretion. No charge is refunded automatically, including the unused part of a period after you cancel. We may grant a refund case by case; email us to ask.

The Free plan is for ordinary use by an organization running its own events. We may limit or suspend a Free organization whose use is abusive or far beyond that — for example, several organizations set up to get around the limits above.

We may change our prices. We will tell you at least 30 days before a new price applies to your subscription.

All prices are in US dollars. Plan payments are processed by Stripe, which also sends your receipts and any failed-payment notices.

What organizations agree to

If you run events on FlockCentral, you agree that:

  • You have the right to collect the information you ask registrants for, and you will use it only to run your events.
  • You will describe your events, prices and refund policy honestly.
  • You will keep the personal information you gather here confidential, and will not sell it or use it for unrelated marketing.
  • You are responsible for what your staff do with their access, and for removing access when someone leaves.
  • You will not use FlockCentral to send bulk or promotional messages to people who did not register with you.

We may suspend an organization’s access if it breaks these terms, or if its use puts other organizations’ email delivery at risk.

Acceptable use

Do not attempt to access data belonging to another person or organization, probe or disrupt the service, upload malicious files, impersonate anyone, or use FlockCentral to break the law.

Content you upload

You keep ownership of the text and images you upload. You give Coding Brothers permission to store and display them for the purpose of running your events on FlockCentral, and nothing else.

Availability, and the limits of what we promise

FlockCentral is provided as it is. We work to keep it available and correct, but we do not promise it will be uninterrupted or error-free, and we do not promise it fits any particular purpose.

To the fullest extent the law allows, Coding Brothers is not liable for indirect or consequential losses — lost profits, lost data, or loss arising from an event itself. Our total liability to an organization is limited to what that organization paid us in the twelve months before the claim. Nothing here limits liability the law does not allow us to limit.

Ending your use

An organization may stop using FlockCentral at any time; contact us and we will help you export your data first. A registrant may ask us to close their account, though records of a registration may be kept where the organization needs them or the law requires it.

Changes

We may update these terms. If a change matters, we will say so on this page and update the date above. Continuing to use FlockCentral after a change means you accept it.

Governing law, disputes and notices

These terms are governed by the laws of the State of California, United States, without regard to its conflict-of-laws rules. Any dispute about them or about FlockCentral is brought in the state or federal courts located in California, and you agree to their jurisdiction. Tell us about a problem first: most are settled by email.

Notices to us go to [email protected], or by post to Coding Brothers, 1113 Fence Post Way, Roseville, CA 95747. Notices to you go to the email address on your account.
